Experience: 1 or more years Customer Service and Dispatching

Skill Level:

  • Primary telephone contact for all Commercial technicians and customers during the service process; includes updating customer records at the time of dispatch, dispatching all technicians, schedule planning and forecasting.
  • Working closely with the field technicians in all aspects of scheduling and dispatching.
  • Work with parts runner and warehouse team to efficiently and effectively pull material and parts and have them ready for the field team.
  • Tracks Maintenance and ensures that maintenance is completed on time.
  • Ensures with Parts runner that all parts and material are available and ready for the technicians each day.
  • Dispatches technicians to calls and coordinates their daily service schedules.
  • Coordinates and executes the tracking process for all service calls to ensure customer expectations were met and the customer is satisfied, including arrival times and will communicate any arrival time discrepancies to the customer.
  • Tech Debriefing (Debriefs with techs on every call and enters notes in dispatch)
  • Meets weekly with Commercial Service Team to discuss issues and opportunities.
  • Back up Team 1 Dispatcher as needed.

Team 2 Consists of 5-8 technicians (apprentices, maintenance techs and service techs)

Team 2 Dispatcher is responsible for Team 2

Scheduling Service Calls, Repairs and Maintenance, Ordering Parts, Debriefing, Tech Time Management and Recording

Confirming all calls and handling all customer interactions for this team

Requirements:

  • Knowledge of customer service principal and practices
  • Skill in operating personal computer and programs such as scheduling, spreadsheet, database, and word processing software.
  • Skill in verbal and written communication
  • Ability to handle a variety of tasks.
  • Ability to perform accurate data entry.
